This guide will provide you with step by step instructions on Silver Campaign Planning in Accelo.
Please note that this Guide refers to 2 documents (Silver Campaign Planning Meeting Prep Form, and Silver Campaign Plan Form). Both are found with that individual Customer’s Digital Assets folder on OneDrive (in the Work Plans folder). The URL for a Customer’s Digital Assets folder is found in the description of every one of their “Planning – Plan Next Interval” Tasks.
The steps will be in the format of role/which department the step is for followed by the details.
- PM – Schedules the Planning Pod (which consists of a cluster of back to back Silver Campaign Planning Meetings). PM ensures these meetings line up with the Health Check and Plan Next Interval Tasks (with Health Check being 1 day before the Planning Pod).
- Account Manager – AM Sees the “Planning – Account Manager Call” Task. Does the pre Planning Call with the Customer and adds notes from the call to their section of the Silver Campaign Planning Meeting Prep Form on OneDrive. AM then marks the “Planning – Account Manager Call” Task as Complete.
- SEO Exec – SEO sees the “SEO – Health Check” Task. Performs the Health Check and completes their sections of the SILVER Campaign Planning Meeting Prep Form.
- PPC Exec – If required to fill in the Silver Campaign Planning Meeting Prep Form., the PPC Exec will see a Task in their PPC Interval telling them to do so.
- SEO Exec and Content Exec (& Social, PPC & AM if required) – All Planning Pod attendees see the Planning Pod in Outlook. SEO Exec sees their “Planning – Plan Next Interval” Task. They all do Silver Planning Meeting and produce Silver Campaign Plan (using the SILVER Campaign Plan Form). SEO Exec does not mark the “Planning – Plan Next Interval” Task Complete until the Silver Campaign Plan is signed off by AM (and Customer if required) in Steps 10.
- SEO Exec – Sends Silver Campaign Plan to the Account Manager via a note from within the “Planning – Plan Next Interval” Task.
- Account Manager – checks work, if they have feedback they reply to the SEO Exec, return to step 4. If Account Manager signs off the work, decide if the work needs to be sent to the Customer for final approval.
- Account Manager – No customer approval required, move to step 10. If customer approval is required, email the Customer.
- Customer – Supply feedback to the Account Manager. If no changes are required move to step 10.
- Account Manager – If feedback is received & changes are required, send note with changes (note is against the “Planning – Plan Next Interval” Task) through to the SEO Exec then return to step 4.
- Account Manager – Once AM is satisfied that Silver Campaign Plan is ready for implementation they send note (against the “Planning – Plan Next Interval” Task) to PM with Approved Silver Campaign Plan attached, authorising PM to schedule the work in the Accelo Interval. In same note the AM is to tell the SEO Exec that they are now to mark their “Planning – Plan Next Interval” Task as Complete.
- PM – Create Tasks in Accelo, archive the Silver Campaign Plan in OneDrive, contact AM with a note saying this has all been done. Complete the “Planning – Accelo Entry” Task.
