Sales Proposal – DM Contribution Requests
The Digital Marketing department is always happy to contribute and help with sales proposals, but there is a lot of research that goes into DM suggestions and so the research and delivery of them needs to be scheduled in appropriately, so we can still cater to our current customers while providing quotes for new work.
While the Project Management team works on mapping and launching a permanent solution, please find below the temporary process to be followed for Sales Proposal Requests that need input from the Digital Marketing department.
Temporary Process:
- Please create a note against the sale/company in Accelo and send it to the relevant executive (Ash for PPC, David for Social, or Joel Perkins for SEO) and their line manager (Paula) with your request
- Please allocate 2 days from the date you brief the team to receive the respective proposal contributions. Please note, this is NOT from the date you sent the request if a brief is required. The two days run from the day the brief/handover took place.
- If a brief is NOT required and the work can start straight away, make this clear on your note.
- Please also allow 24 hours for it to be proofread by the DM Leads, so they can also schedule this in with the work they already have allocated to them.
While two days might seem extensive, it’s important you understand that there is a lot of research that happens in the background in order for the DM team to make suggestions. Here is what to expect if you request contributions from DM, this includes time estimates and work involved. These are averages. We could need less time if the website is small or more time if the website is a large e-commerce site, equally, what they asked from us might not need all the examples of work given.
SEO TEAM
Work involved: health check, competitor overview, keyword research overview, website mini-audit, link profiling mini-audit, writing plan of action
Time estimate: 2hrs for a small website (under 20 pages); 3 hours for an e-commerce site
**If the site has more than 20 pages, we will suggest optimising it in stages starting from main navigation/landing pages and moving on to the most visited secondary and tertiary pages. So, bear in mind that larger sites won’t be optimised all at once.**
PPC TEAM
Work involved: account audit, keyword research, landing page research and recommendation, tracking and set up research (do they have an account and do they currently track anything), D&D work consultation (to find out if we can add tracking codes etc), writing plan of action
Time estimate: 2hrs for a small website (under 20 pages); 5.5 hours for an e-commerce site
SOCIAL TEAM
Work involved: audit of what they currently do and have, platform suggestions, branding suggestions, focus suggestion for each platform, competitor research, proposed ads, writing plan of action.
Time estimate: 2 hours not incl. proposed ads, 3 hours including proposed ads with no personalised images
PRESENTATION
If a DM department needs to put a presentation together for the client, providing slides or indeed the full presentation, this would take another 1-3hrs to put together on top of the work above depending on the size of the presentation. For reviews or changes to the presentation, please allocate in between 30 mins to 2hrs depending on how many changes were suggested.
DM LEADS
Work involved: quality controlling and proofreading proposal
Time estimate: from 30mins to 1hr depending of the size of the proposal
We will also not produce personalized/designed images for proposals. However, we will produce post and ad mock-ups. Personalised images take too long to produce and are not cost-effective if we are not charging the customer for them. It is more cost-effective to use good client or standard images and tell the client that design work would be involved to personalize them if the contract was taken.
There are always exceptions to the rule, of course, but that should not be the norm. We will try to accommodate as much as possible, but the DM team has a lot of projects being delivered at once, so a level of structure and reasonable deadlines are required.
